Folks ATS allows you to sort and organize your applications to find the right candidate more quickly and easily.
You can access new applications through the New applications widget on the home page.
Each application received from the Web is automatically linked to the job for which the candidate applied. With one click, you can approve the application and add the candidate to your process.
| The processes in Folks ATS represent the steps to follow during your recruitment. Processes can be created and configured in Settings > Module configuration > Processes. When you create a job opening, you can specify the recruitment process to use. For more information, see Creating and configuring a process in Folks ATS. |
Managing applications
Automatic approval of Web candidates is a system configuration option (Settings > Module configuration > System).
- When automatic approval of Web candidates is enabled, you will find all new Web candidates on the home page (New applications widget > New applications).
-
When automatic approval of Web candidates is disabled, you will find them among the candidates for the job opening by clicking New applications to the right of the process name.
From the new applications for a job opening, you will then have several action options: Attach to the request, Remove this candidate (this will permanently delete the candidate), and view the Pre-screening form (if applicable) as well as the CV.
A candidate preceded by an eye (Preview candidate) means that they are already in the database, and clicking their name will take you to their candidate profile. A candidate preceded by the label New is a candidate applying for the first time. You can attach them to the request or delete them. By clicking their name, you can add them to the database (Approve).
Back in the candidates for the job, you can click the Send documents icon in the upper-right corner of the section to send candidates' resumes to your colleagues. Simply select the desired candidates and their documents.
- List view: Under the Status column, you can select the process step you are at with your candidate. If you previously configured automations for your process, emails will be sent when the status is saved. Under the Follow-up column, you can add notes about the candidate, if needed.
- Kanban view: Each column corresponds to a step in the recruitment process selected when the job was created. You can move your candidate by dragging them to the desired column. To add notes, click the Comments icon.
Selecting a candidate
You can schedule interviews with the candidate by accessing their profile or mini-profile. To add an interview, go to the Interviews section.
Tip: A well-structured interview, with questions prepared in advance, makes it possible to evaluate all candidates fairly. Involving several people in the interview process can also provide different perspectives and help reduce personal biases. In addition, candidates can meet their future colleagues and get an idea of the work environment.
|
To compare several candidates at the same stage, for example after the first interviews, you can use the side-by-side comparison to make a decision quickly. Simply select the candidates (check boxes), then start a comparison. Attributes are displayed in rows and candidates in columns. You can pin a candidate as a reference, highlight the best values, change a candidate's stage, and open the profile or evaluation card without leaving the view. The Evaluations, Information and Follow-up sections can be collapsed/expanded.
|
Once you have found the right candidate (Status: Selected), the Job creation option is available. Fill in the requested information to create the job, including the start date and end date of the assignment (if applicable), then click Save.
When the job is created, the candidate becomes an employee of your company and the job status automatically changes to Filled. You can view or edit the job from Candidates > Employees (see Connecting Folks ATS to Folks HRIS).
If you use Folks HRIS, the following information will be transferred.
